2. Who We Are
Horizon Clarity is an independent organisational diagnostics practice based in Australia. We work with senior leaders in government, NGOs and complex project environments to surface where risks are not visible, where reporting has drifted from reality, and where delivery has diverged from intent.
We are committed to handling all personal information with the same integrity we bring to our client work — honestly, carefully, and only for the purpose it was given.

3. What Personal Information We Collect
3.1 Website enquiries
When you submit an enquiry through our website, we collect your name, email address, organisation, and the content of your message. We use this information solely to respond to your enquiry.
3.2 Signals newsletter
When you subscribe to our Signals newsletter, we collect your name and email address. We use this information to send you the newsletter. You can unsubscribe at any time using the link in any newsletter email. We will not use your subscription details for any other purpose without your explicit consent.
3.3 Client engagements
During a diagnostic engagement, we may collect:
- Names, roles and contact details of client representatives and engagement participants
- Information shared during interviews and focus group discussions
- Documents provided by the client organisation for review
All information collected during an engagement is used solely for the purpose of delivering the diagnostic service. It is handled in accordance with the confidentiality obligations in our client engagement agreement.
3.4 Interview recordings
With your explicit consent, interviews conducted as part of a diagnostic engagement may be recorded for the purpose of generating working notes. Recordings are processed using AI-assisted transcription tools and are deleted once working notes have been generated. Recordings are never shared with your organisation or any third party.
3.5 Website analytics
Our website uses Google Analytics 4 to collect anonymised information about how visitors use our site. This includes pages visited, time spent on the site, and general geographic location (country or city level). This data does not identify you personally and is used solely to understand how our website is being used and to improve it.
Google Analytics uses cookies. You will be asked for your consent to analytics cookies when you first visit our website. You can withdraw consent at any time through the cookie settings on our site.

4. How We Use Your Information
We use personal information only for the purpose for which it was collected. Specifically:
Website enquiry details — To respond to your enquiry. Not used for marketing without your consent.
Newsletter subscription — To send the Signals newsletter. To manage your subscription preferences.
Client contact details — To manage the engagement, communicate with you, and deliver our services.
Interview content — To identify organisational patterns as part of the diagnostic. Never attributed to individuals.
Interview recordings — To generate working notes only. Deleted after notes are complete.
Analytics data — To understand website usage and improve our site. Anonymised — not linked to individuals.
Payment details — Processed directly by our payment provider. We do not store card data.

5. Disclosure of Personal Information
5.1 We do not sell your data
Horizon Clarity does not sell, rent or trade personal information to any third party. Ever.
5.2 Service providers
We use a small number of trusted service providers to operate our business. These providers may process personal information on our behalf and are bound by appropriate confidentiality and data protection obligations. Our current service providers include:
- Google LLC — Google Workspace (email, document storage, calendar) and Google Analytics 4 (anonymised website analytics)
- Squarespace Inc — website hosting and newsletter delivery
- Stripe Inc (or Squarespace Payments) — payment processing for newsletter subscriptions
- Jamie AI transcription service — processing of interview recordings to generate working notes. Recordings are deleted after notes are complete. (https://www.meetjamie.ai/privacy-policy)
- IT support services as engaged from time to time
Some of these providers are based outside Australia and may process data on servers located overseas, including in the United States. We take reasonable steps to ensure these providers maintain data protection standards consistent with Australian Privacy Principles.
5.3 Practitioners
Horizon Clarity may engage independent practitioners to support diagnostic engagements. Where an associate participates in an engagement, they are bound by the same confidentiality obligations as Horizon Clarity under a formal contractor agreement. Associates do not retain personal information beyond the completion of their engagement work.
5.4 Legal requirements
We may disclose personal information where required by law, including in response to a valid request from a law enforcement agency or regulatory authority.

6. Data Storage & Security
We take the security of personal information seriously. Our practices include:
- All client engagement materials, interview notes and organisational data are stored in Google Workspace, which uses industry-standard encryption at rest and in transit
- Access to client data is restricted to the Principal and, where applicable, authorised associates working on that specific engagement
- Interview recordings are deleted promptly after working notes are generated — they are not retained
- We do not store payment card data — this is handled entirely by our payment processor
- Notion is used for internal project management only. No client personal information is stored in Notion
- Interview recordings are processed using Jamie and deleted promptly after working notes are generated
While we take all reasonable steps to protect personal information, no method of electronic storage or transmission is completely secure. If you have concerns about the security of information you have shared with us, please contact us directly.

7. How Long We Keep Your Information
Website enquiries — 12 months from date of enquiry, unless an ongoing relationship is established
Newsletter subscriptions — Until you unsubscribe. Suppression list retained indefinitely to honour unsubscribe requests.
Client engagement materials — 7 years from completion of engagement, in accordance with Australian business record-keeping requirements
Interview recordings — Deleted within 7 days of working notes being generated
Working notes from interviews — Retained for the duration of the engagement plus 7 years
Analytics data — 14 months (Google Analytics 4 maximum retention setting)
Payment records — 7 years in accordance with Australian tax and financial record-keeping requirements

8. Your Rights
Under the Australian Privacy Principles, you have the right to:
- Access the personal information we hold about you
- Request correction of personal information that is inaccurate, out of date, incomplete or misleading
- Request that we delete your personal information, subject to our legal record-keeping obligations
- Withdraw consent to the use of your personal information where consent is the basis for processing
- Make a complaint about how we have handled your personal information

If you are not satisfied with our response to a privacy concern, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au
